Zoom Integration — How it Works

1. What this integration does

  • Auto-generates a Zoom join URL the moment a mentor confirms a virtual mentorship session.
  • Updates the Zoom meeting (time, topic, duration) if the mentor reschedules the session inside Jeel.
  • Deletes the Zoom meeting on the mentor's Zoom account if the session is cancelled.
  • Surfaces the join URL on the session page for both mentor and mentee — no copy-paste, no spreadsheet of links.

The whole flow is automated. Mentors never need to manually create or share a Zoom meeting.

2. Adding the Zoom integration (mentor walkthrough)

  1. Sign in at jeel.online with your mentor account.
  2. From the sidebar, open Settings and switch to the Integrations tab (the 5th tab).
  3. Find the Zoom card and click Connect Zoom.
  4. You'll be redirected to Zoom's standard authorisation screen.
  5. Review the requested permissions. Jeel asks for:
    • meeting:write — view, create, update, and delete your meetings (so sessions you confirm can auto-generate their Zoom link).
    • user:read — view your basic Zoom profile (name + email) so we can confirm which Zoom account is linked.
  6. Click Allow on Zoom's screen.
  7. You'll return to Jeel with a green “Zoom connected” confirmation banner. The Zoom card now shows your linked Zoom email and a Disconnect button.

3. Using the integration

  1. Schedule a session as normal — the mentee proposes time slots and you (the mentor) accept one.
  2. If the session mode is Virtual or Both, Jeel calls Zoom on your behalf and creates the meeting on your Zoom account immediately after you confirm the slot.
  3. The Zoom join URL appears on the session detail page for both you and the mentee, alongside the session topic, time, and agenda.
  4. If you reschedule the session, Jeel updates the same Zoom meeting in place (same join URL, new time).
  5. If the session is cancelled, Jeel deletes the Zoom meeting on your account so the join URL stops working.

Calendar invitations (Google Calendar / Outlook) — when those integrations land — will include the Zoom join URL automatically.

4. Removing the integration

  1. Go to Settings → Integrations on your mentor dashboard.
  2. On the Zoom card, click Disconnect.
  3. Confirm the dialog.
  4. Jeel will:
    • Revoke the access token at Zoom (so the grant stops appearing under your Zoom account's installed apps).
    • Delete the encrypted access token, refresh token, and linked-account metadata from our database.
  5. You can reconnect any time by clicking Connect Zoom again — there's no penalty for disconnecting and reconnecting.

You can also revoke the grant directly from Zoom App Marketplace → Installed Apps. If you revoke at Zoom first, the next time Jeel tries to create or update a meeting on your behalf the call will fail cleanly and we'll prompt you to reconnect.

5. What data Jeel stores

  • Your Zoom user ID and email — to identify which Zoom account is linked.
  • An access token and refresh token, both AES-256-GCM encrypted at rest. The access token is short-lived (~1 hour); we use the refresh token to mint new access tokens silently as needed.
  • Per-session Zoom meeting IDs — so we can update or delete the right meeting later.

We do not store:

  • Meeting recordings.
  • Meeting transcripts.
  • Chat messages or in-meeting reactions.
  • Attendee lists or participant join/leave events.
  • Any audio or video.

When you disconnect (Section 4) or delete your Jeel account, both tokens and the linked-account metadata are deleted from our database. Per-session meeting IDs are retained as part of the session record only for sessions you choose to keep.

6. Troubleshooting

  • Clicking “Connect Zoom” doesn't redirect. Make sure you're signed in to Jeel — the OAuth start route requires an authenticated session.
  • Zoom shows “App not approved” or “App not published”. The Jeel Zoom app is currently in the Zoom Marketplace approval queue. Until it's published, email mentorshipae@gmail.com with the Zoom email you'd like added to the test-allowlist and we'll add you manually within one business day.
  • I scheduled a session but no Zoom link appeared. Check the session's mode — only Virtual and Both generate a Zoom link; Physical sessions don't. Then check Settings → Integrations to confirm your Zoom card still shows Connected.
  • The Zoom card says “Connection expired”. This means our refresh token was revoked at Zoom (usually because you changed your Zoom password or admin revoked app-level access). Click Disconnect then Connect Zoom again to mint a fresh token pair.
  • I disconnected but my Zoom app still shows Jeel installed. Visit Zoom Marketplace → Installed Apps and click Uninstall on the Jeel entry — that revokes the OAuth grant at Zoom's end.
